TERMS AND CONDITIONS

By registering, all delegates, advisors and schools have agreed to comply with the following terms and conditions set forth by the Security Council Simulation at Yale. The following terms and conditions describe the fees, deadlines, policies and disclaimers of the Security Council Simulation at Yale.

Fees and Deadlines:

SCSY reserves the right to change the schedule of the conference and deadlines as seen fit and necessary by the Secretary General. The schedule available on the SCSY website is tentative and subject to change. SCSY also has two deadlines for domestic and international delegations. International delegations is defined as any individual or institution, or delegation from outside of the United States and/or its overseas territories.

Payment Policy:

A non-refundable $200 deposit, deducted from your total payment, is due at the time of registration. You must submit the $200 deposit for your registration to be complete. We strongly recommend delegations submit the remainder of the payment by the respective registration deadline. You may submit the remainder of your payment anytime no later than the respective Late Registration deadline of Friday, September 29, 2017 for Domestic Delegations, and Sunday, September 3, 2017. 

Payments can be made in three ways:

1. CHECK (recommended): Checks must be paid to the order of Yale International Relations Association, postmarked by Friday, September 29, 2017 for domestic delegations and Sunday, September 3, 2017 for international delegations and mailed to:

2. PAYPAL: Send PayPal to treasurer@yira.org. All payments must include the name of the conference (SCSY XL) and the name of the delegation. Please note that all Paypal transactions will add an extra $20 fee to the total cost.

Eligibility:

  1. Delegate and Delegation Eligibility

    1. Registered delegates who will be participating in SCSY XL must be currently enrolled as an undergraduate or graduate student at a college or university. The staff and Secretariat of SCSY reserve the right to investigate the eligibility of any delegate and expel without refund any individual determined to be ineligible for participation as a delegate.

    2. You may register as part of a delegation or as a single delegate. Single delegates need to pay both the delegation fee and the individual delegate fee. Single delegates may petition to waive the delegation fee by emailing scsy.delegations@yira.org or apply for a financial aid waiver. The $200 deposit does not apply to single delegates.

    3. If a delegation, delegate or advisor acts in a way that does not align with the mission and core values of SCSY or in a way that is deemed detrimental to the conference quality and philosophy, SCSY reserves the right to reject and/or expel he or she along with the respective delegations immediately without refund. He or she along with the respective delegation may be prohibited from attending SCSY in future years.

    4. If a student is found to be ineligible for the conference or has behavior that is found to be destructive to the conference, he or she will be dismissed without refund.

      1. Those behaviors include, but are not limited to:

        1. Inappropriate use of social media

        2. Disruptive conduct during committee session

        3. Any abusive drug use during committee session and on Yale campus

        4. Any violation of conference conduct (See the section labeled Conference Conduct)

    5. SCSY reserves the right to ask delegates, advisors or delegations to leave if they are significantly disrupting the conference or causing harm to others.

POSITION ASSIGNMENT POLICY:

Position and committee assignments will not be made unless a full payment of all registration fees has been received. Exceptions may be made if clear evidence is provided that the funding is being arranged or the payment is being processed.

Conference Conduct:

  1. SCSY, YIRA, and Yale are not responsible for any injury or illness that occurs while in attendance of SCSY. Delegates assume all responsibility for themselves and anyone else accompanying them at the conference.

  2. Delegates are responsible for wake-up times and ensuring full delegation attendance at the conference. Attendance will factor into award considerations. SCSY does not assume responsibility for making sure that delegates do not skip committee beyond taking attendance and reporting absences to advisors.

  3. Western Business Attire (WBA) is required for the entirety of the conference and will be strictly enforced. Failure to comply with Western Business Attire may result in delegates being asked to leave committee and change into appropriate attire. Repeated offenses may result to the delegate’s dismissal from the conference.

  4. SCSY will strictly enforce an environment of respect among delegates, advisors, and staff. Any form of harassment will not be tolerated, and such conduct may result in expulsion from the conference and/or other severe consequences.

  5. Delegates are not allowed in Yale buildings except rooms where committees and conference events are being held or special accomodation has been arranged. Failure to comply with this rule may result in the delegate’s dismissal from the conference.

  6. Head Delegates must attend all scheduled Head Del meetings. Attendance will be taken. Head Dels who do not attend these meetings jeopardize their delegations’ award eligibility.

  7. There is a strict policy against consumption of alcohol and other controlled substances during the conference. Underage delegates found with or consuming such substances will be expelled from the conference.

  8. SCSY assumes no responsibility for delegates or advisors who fail to follow stated rules and procedures and reserve the right to dismiss without refund delegates, advisors, and/or delegations not in compliance with these terms and conditions.

Awards Criteria:

SCSY bestows awards upon its highest-performing attendees. These prizes serve as tokens of recognition for excellence in committee and in the conference as a whole. They acknowledge both individual delegates as well as entire delegations. Below are descriptions of SCSY’s awards criteria.

  1. For delegates:

    1. SCSY distributes:

      1. One honorable mention (third place) award per committee

      2. One outstanding delegate (second place) award per committee

      3. One best delegate (first place) award per committee

    2. Chairs judge delegates based on the following criteria:

      1. Substance: Do the delegate’s statements and written directives demonstrate a strong understanding of the topic under consideration? Has the delegate demonstrated that he or she has conducted background research prior to the conference, whether through individual efforts, classes, activities, or professional experiences?

      2. Creativity: Does the delegate present creative solutions and ideas? Do the concepts put forth go beyond “run of the mill” ideas commonly discussed with regard to the topic under consideration in committee?  

      3. Presentation: Does the delegate have strong public speaking skills? Does the delegate behave like the character he or she is representing, while also acting diplomatically toward others? Does the delegate have strong writing skills?

      4. Engagement: Is the delegate demonstrating genuine interest in the committee’s activities? Is the delegate an active participant in committee discussions and directive writing? Does the delegate demonstrate a positive and constructive attitude?

  2. For delegations:

    1. SCSY distributes:

      1. One outstanding delegation (second place) award to both small and large delegations

      2. One best delegation (first place) award to both small and large delegations

      3. A “small delegation” consists of five to eleven delegates.

      4. A “large delegation” consists of twelve or more delegates.

      5. Delegations of four individuals or fewer are not eligible for awards.

    2. SCSY tabulates delegation awards based on individual delegate awards and the total delegation size.

      1. First, SCSY calculates a delegation’s points by adding up one point for each honorable mention, two points for each outstanding delegate, and three points for each best delegate. If two individuals participated as a pair in a so-called double delegation committee, then SCSY adds two points for each honorable mention, four points for each outstanding delegate, and six points for each best delegate.

      2. Second, SCSY divides the delegation’s total points by its size, the number of delegates participating in the delegation. This points-to-people ratio serves as the basis for determining awards.

Exceptions and Violations:

The Secretary-General and Director-General are the only ones who are allowed to grant exceptions or extensions to conference policies and deadlines. Neither SCSY nor Yale International Relations Association is liable for erroneous statements made by other members of SCSY staff regarding conference policies listed—and not listed—herein. Violation of the policies listed in these terms and conditions may result in the revocation of assigned seats with no refund, expulsion, and prohibition from future SCSY conferences.
